Ink Lifecycle & Expiration
Understand active/inactive inks, open dates, and how expiration warnings work.
Ink records have a few lifecycle fields that help your studio stay organized:
Active vs Inactive
- Active inks can be registered on bookings.
- Inactive inks stay in your inventory for record-keeping but are not suggested for new registrations.
Expiration Date (Label Expiration)
You can store an expiration date on an ink. TatTool highlights:
- Expired dates (in red)
- Expiring soon (in yellow, typically within ~30 days)
Important
TatTool warns you about expiration dates, but it does not automatically deactivate an ink just because the date passed. Your staff should deactivate inks according to your policy.
Open Date (Opened Bottles)
If you track opened bottles:
- Set Is open and the open date when the bottle is opened.
- You can set or change the open date later from the ink actions menu.
Auto Expire (Studio Policy)
Owners/admins can configure Auto Expire in:
- Extensions → Ink Registration → Settings
This stores your organization’s policy for how many days an ink should be considered usable after it’s opened (based on the open date). Use it alongside your compliance requirements and internal SOPs.
Expired Ink Follow-Up In To-Dos
Expired-ink work can also surface in To-Do as a system-generated item, so the team can track follow-up work in the same task workflow used for manual to-dos.
These items appear alongside normal to-dos and can be moved through the usual statuses such as Pending, In Progress, and Completed.
