Learn the basics of TatTool and how to set up your studio
What is TatTool?
TatTool is a booking and management platform for tattoo artists and studios. It helps you:
- Manage bookings, consultations, and time off
- Send and store digital consent forms
- Automate messages via email or SMS
- Handle deposits and payments
- Comply with EU ink and consent regulations
TatTool is modular. You can turn features on or off through Extensions depending on what you need.
Core Concepts
Teams and Roles
Every account belongs to a team (usually your studio). Each user has a role:
- Artist: manages their own bookings and clients
- Manager: oversees the whole studio
- Assistant: helps with bookings, payments, or messaging
- Client: interacts through the client portal
Events
Events are anything on your calendar: bookings, consultations, time off. Most actions in TatTool are tied to events.
Extensions
Extensions let you add features like:
- Consent forms
- Payments via Stripe
- Messaging (SMS and email)
- Ink registration
- And more
Flows
Flows let you automate tasks. For example:
- Send a reminder 24 hours before a booking
- Request a consent form when a booking is made
- Notify someone when a form is signed
Creating an Account
- Go to tattool.io
- Click “Sign up”
- Enter your name, email, and password
- Confirm your email
Once you're logged in, you can either create or join a team.
Creating or Joining a Team
When you log in for the first time, TatTool will ask if you want to:
- Create a team (your own studio), or
- Join an existing team (if someone invited you)
To create a team:
- Choose a name
- Pick a subdomain (like my-studio.tattool.io)
- Select your role
- Invite other team members
To join a team:
Click the invite link you received by email or from someone on the team.
Setting Up Your Studio
Once you're in a team, you can:
- Upload your studio logo
- Set your contact details
- Define working hours and unavailable days
- Invite other users
- Enable or disable extensions
Creating Your First Booking
To create a booking:
- Open your calendar
- Click a time slot
- Choose “Booking” or “Consultation”
- Enter client details
- Save the event
You’ll now see the event in your calendar.
If consent forms are enabled, you can attach a form. If payments are enabled, you can send a deposit request.
