Guest events
Mark a member as working at another location so scheduling stays accurate.
Guest events are used when a participant is guesting at another location for one or more days.
They help keep availability accurate and visible across locations.
Key concept
Guest events lock a member to a specific location for that period. You can’t schedule them at a different location during the same time.
Event Period
The first input lets you choose the start and end dates of the guest event.
You can:
- Type the dates directly
- Click the calendar icon to open the date picker
For a single-day guest event, select the same date for both start and end.
Guesting Location
Select the location where the participant is guesting during this period. This represents where they are physically working.
Show In Locations
Choose which locations should display this guest event.
This is commonly used to:
- Show the guest event in the participant's home location
- Make it clear to others that the participant is unavailable locally
Participant
Select the participant who is guesting. This determines:
- Who the guest event belongs to
- Which personal calendar it affects
Description
Add an optional description with additional context, such as:
- Who they are guesting with
- Notes about availability or special conditions
Calendar Behavior
Guest events are shown in the calendar:
- They appear in the all-day header at the top of the calendar
- To edit a guest event, click it in the calendar
- Click any value in the Event Sheet to edit it
Conflict Rules (Important)
A guest event means the member is working at a specific location during that time range.
Because of that:
- You cannot schedule a booking or consultation for that member at a different location during the guest period.
- You cannot create a guest event if the member already has bookings or consultations at a different location during that time.
- You cannot create a guest event that overlaps the member’s time off.
If scheduling is blocked, TatTool will show a message explaining the conflict.
