Approval & Status
Learn the exact statuses, what they mean, and what actions are allowed.
Every consent form instance has a status. Status describes where it is in the workflow.
Statuses (Exact Values)
| Status | Meaning | Common next step |
|---|---|---|
| Pending | Sent/created, but not signed/submitted yet | Share link/QR with the client |
| Awaiting approval | Client submitted; a locked, encrypted PDF was generated and is waiting for staff review | Review and approve/reject |
| Approved | A staff member approved the signed consent, or the Auto-verify signed consent forms setting approved it on submission | Proceed operationally; client sees “Approved” |
| Rejected | A staff member rejected (or client declined via workflow) | Follow up with client; create a new form if needed |
What changes after signing
After the client submits, TatTool stores the result as a locked, encrypted PDF. The PDF content cannot be changed.
Optional auto-verify flow
If Auto-verify signed consent forms is enabled in Extensions → Digital Consent Forms → Settings → Verification, newly signed forms skip Awaiting approval and go directly to Approved.
Approve Or Reject
Approval/rejection is done from the appointment:
- Open the booking/consultation
- Go to the Consent tab
- Find the consent form with status Awaiting approval
- Use the actions menu → Approve or Reject
If auto-verify is enabled, this manual review step is skipped for newly signed forms.
TatTool does not enforce approval
Bookings, payments, and other workflows can still proceed even if a consent form is pending, awaiting approval, or rejected.
Viewing And Deleting
View the PDF
You can view/download the PDF after the client has submitted (status is not Pending).
Delete a consent form instance
Consent form instances can only be deleted while:
- Pending, or
- Awaiting approval
Once approved/rejected, deletion is blocked.
