TatTool’s calendar system is at the core of how studios manage their time. This guide explains how to create appointments, set availability and time off, understand the difference between consultations and bookings, and how overlapping rules work.
Creating Appointments
To create a booking with a client:
- Go to the Calendar
- Click on an empty time slot
- Choose "New Booking"
- Select a client (or create a new one)
- Set the service name, date, time, and duration
- Add notes, price info, or assign tasks (optional)
- Click "Save"
The client will automatically be notified if you have flows enabled (like confirmation messages or deposit requests).
You can edit or cancel bookings anytime by clicking on them in the calendar.
Setting Availability / Time Off
By default, artists can receive bookings during standard working hours. You can customize this:
To set availability:
- Go to Settings → Availability
- Choose your weekly working hours
- Set default break times if needed
- Save changes
To set time off (vacation, lunch, breaks):
- Go to the Calendar
- Click and drag over the time you want to block
- Select "New Time Off"
- Add a title (e.g. "Lunch break" or "Vacation")
- Click "Save"
Time off ensures no bookings or consultations can be added during that period.
Consultations vs Bookings
TatTool supports both consultations and bookings, which serve different purposes:
- Consultation: A pre-meeting or discussion, usually short and often done before the main booking. May be in person or online.
- Booking: A confirmed tattoo session, with a client and a reserved time block.
When creating a new calendar entry, you’ll be asked to choose one or the other. Each type may trigger different flows or forms.
Overlapping Rules
TatTool helps prevent scheduling conflicts with the following rules:
- Bookings and time off cannot overlap
You can’t book a session during someone’s time off. - Consultations can overlap with bookings
This is useful if a short online consultation happens while the artist is prepping or finishing up another session. - Bookings can’t overlap with other bookings
Each artist can only have one active booking at a time.
If you attempt to create an overlapping event, the system will show an error or prevent the action.
